Payroll Coordinator

Summary:
The Payroll Coordinator, under the general supervision of the Finance Manager, is responsible for the comprehensive management of payroll processes for the Center for Disability Rights Inc. and the Regional Center for Independent Living Inc. This role involves the accurate preparation, analysis, and input of payroll data, ensuring adherence to state and federal wage and hour laws. The Payroll Coordinator maintains and updates payroll systems to align with employee benefits and deductions, collaborates with the Human Resources department to resolve payroll discrepancies, and generates necessary payroll reports. Additionally, the Payroll Coordinator is responsible for remitting taxes in a timely manner, completing quarterly tax filings, and preparing W-2s, 1095s, and other required tax documents.

The ideal candidate will have experience working with in-house payroll systems, demonstrate meticulous attention to detail, have excellent problem-solving skills, and exhibit the ability to handle confidential information with integrity.
Duties:
Ensure all timesheets are submitted on time, working closely with supervisors to correct and clarify any discrepancies.

Utilize the organization’s payroll software to process payroll accurately and timely, ensuring all employee compensation is correctly calculated and disbursed.

Maintain up-to-date knowledge of, and ensure compliance with, all applicable state and federal wage and hour laws.

Maintain and accurately post payroll-related monthly expenses and liabilities into the financial software in a timely manner.

Produce and analyze payroll-related reports on a regular and as-needed basis, using available data to inform decision-making and reporting to management.

Coordinate with other payroll personnel to maintain and update payroll systems to ensure they accurately reflect employee benefits, deductions, and any changes in employment status, ensuring effective and accurate accounting.

Collect, file, and organize all payroll-related documents, including notices, reports, and confidential records, ensuring secure and efficient record-keeping.

Assist the Director of Finance with various departmental projects, providing support and expertise as required.

Collaborate with the Human Resources department to investigate, resolve, and process payroll discrepancies and issues, ensuring employee concerns are addressed promptly and accurately.

Perform general administrative tasks, including running errands and making deliveries within the office or to external parties when necessary.

Undertake any other duties as assigned by the supervisor, demonstrating flexibility and a willingness to support the organization as needed.

Qualifications:
Education Requirements :

Bachelor's Degree in Accounting, Finance, Business Administration, or a related field is preferred.

High school diploma or equivalent is required.

Certified Payroll Professional (CPP) certification or similar credentials are a plus and can be substituted for some of the education requirements.

Continuing education courses in payroll management, accounting, or finance are desirable and beneficial for staying updated with industry practices and regulations.
